Gap Analysis / Scoping

Graham A Brown & Associates has developed unique gap analysis/scoping processes to suit the varying environmental, safety, quality, community and business management systems we encounter. Our process has been tried and tested with a range or organisations nationally and internationally and we provide our clients with clear outcomes and strategic plans for developing, implementing and maintaining their systems.

Our Methodology

The gap analysis/scoping processes can be completed as a formal exercise using our Gap Analysis Checklist or may be conducted as more of a ‘mentoring’ session where the client has the opportunity to use the knowledge and experience of the consultant to formulate the format, structure, look and feel of the system, resulting in a detailed action plan for moving forward. As a part of the gap analysis/scoping exercise we examine the relevant parts of your existing systems and processes to see how the system will best be established in your organisation. Depending on the organisation and the activities within the scope of the system the gap analysis/scoping exercise may be conducted as a desktop exercise or can follow a typical audit process with site inspection, personnel interview and document inspection.Elements of existing systems to be examined include:

  • Improvement programs;
  • Regulatory and corporate requirements;
  • Current roles and responsibilities for environmental management;
  • Risk assessment processes;
  • System documentation and document/record control processes;
  • Task planning, work orders etc;
  • Product specifications,
  • Contractor and supplier management;
  • Training management processes;
  • Emergency preparedness and response procedures, resources; and
  • Auditing and inspection processes.

The Outcome

The outcome of the gap analysis/scoping exercise is agreed with the client before beginning the exercise. Some clients require detailed audit or assessment reports for presentation to management, executives and Boards, whereas a simpler nonconformance report may be suited to those who have a good handle on their systems but need to know where to go next. Both of these styles of report can also have a rating system added to allow prioritisation of actions. Where a more informal ‘mentoring’ style exercise is completed, the outcome may be a detailed action plan developed between the client and consultant during the exercise rather than a formal report written back in the consultant’s office.

The assessors will identify successful progress to date, with specific recommendations that address any nonconformance with the relevant management system standard(s) or deficiencies in the system development and implementation process. Our reports are prepared in accordance with generally accepted practices (including the standards set out in AS/NZS ISO19011) and under the strict quality requirements of our internal systems.
